Track a learner's progress

Every learner has a record of their whole journey through each course they are on: what was sent, what they opened, what they answered, and what comes next. It is the first place to look when somebody writes in.

Finding a learner

Open Learners and search by email address. Choose a learner to see every course they are enrolled in, with a separate record for each.

Every role can see learner records, including viewers.

Enrollment status

Each enrollment is in one of four states.

Status

What it means

Unverified

They filled in the form but have not followed the link in the confirmation email. Nothing is sent until they do.

Active

The course is running and content is on its way.

Completed

They reached the end of the course.

Deactivated

The course stopped before the end. The reason is shown alongside — see below.

"I signed up and got nothing" is usually Unverified

Check the status before anything else. An unverified enrollment means the confirmation email is sitting unopened — often in spam — and the fix is on their side, not yours.

Why an enrollment stopped

The learner unsubscribed themselves.

Revoked

An admin cancelled the enrollment.

Failed

They failed a blocking quiz on both attempts.

Inactive

They missed the deadline on a blocking quiz or assignment.

Blocked

Their address could not be sent to.

Canceled and revoked are kept apart on purpose. "They left" and "we removed them" are different things, and the record never blurs them.

No reason can be reversed. A learner who wants to carry on has to enroll again, which starts the course from the beginning.

The timeline

Within each course, the record lists everything that happened in order:

  • When they registered, and when they confirmed their address

  • Each lesson, quiz and assignment sent, and any reminders

  • When they opened an email

  • Each quiz submission, with the score

  • Each assignment submitted, and when it was reviewed

  • When they completed the course, or when and why it stopped

Read it from the bottom when someone is stuck. The last few events almost always explain it — a quiz failed yesterday, an assignment still waiting for review, a deadline that has just passed.

Opens are an estimate

"Opened" does not always mean read

Opens are recorded when the email's images load. Some mail apps load images automatically — Apple Mail does, for most of its users — so an email can show as opened without anyone looking at it. Others block images, so a lesson somebody read carefully can show as never opened.

Treat opens as a rough signal across many learners, not proof about one. A submitted quiz or assignment is proof; an open is not.

What is coming next

An active enrollment shows the next scheduled delivery — which content it is, and when it is due.

Admins also see a send now link beside it, which delivers that item immediately and moves the course on as if its time had arrived. See Send the next lesson immediately.

Ending an enrollment
